Overview

The Customer Service Representative performs many of the functions required by the Customer Service and Sales Departments and will need to be crossed skilled and have the ability to multitask under pressure, including taking inbound calls, performing order entry, providing internal sales support as well as ordering materials from their Source of Supply.

Responsibilities

  • Maintains strong communication with Customers
  • Processes Customer orders, on the ERP system, received by phone, email, our via our online portal
  • Manages back orders and releases as stock becomes available
  • Reviews and edits orders received for price and part numbers
  • Advises Customers on lead times for products
  • Advises Customers of alternative appropriate stock, where applicable
  • Processes special price to meet competition orders
  • Creates purchase orders for parts and products
  • Advises Customers of delivery status and takes account enquiries
  • Provides Customers advice on product queries
  • Manages warranty returns
  • Produces reports/metrics to support performance in Customer Service
  • Assist the sales team with new product introduction and product obsolescence
  • Product and Service orders invoices daily
  • Runs reorder and forecast report fortnightly and orders on RBI, pending demand, via Self Service, as well as entering orders into the RBM ERP system
  • Manage large project orders, in liaison with Sales, the Dealer, the Contractor and the 3PL warehouse in terms of allocating and dispatching stock
  • Prepares advanced shipping notices and coordinates the timing of unloading containers at the 3PL warehouses
  • Receipts stock into the ERP system upon supply.
  • Assist the sales team reduce slow moving and obsolete stock

Qualifications

MINIMUM QUALIFICATIONS:

  • Bachelor's degree
  • Three to five years’ experience in a Customer Service environment
  • Excellent at communicating over the phone, email and messaging app.
  • Ability to answer the phone, listen actively, relay information, and type basic information simultaneously
  • Basic computer skills and experience with tracking and recording call information, filing documents or updating customer profiles/accounts
  • Experience with using Microsoft Office
  • Experience using ERP systems

 

DESIRED QUALIFICATIONS

  • Foreign language, preferably bi-lingual English / Spanish
  • Extensive knowledge of People Soft
  • Knowledge on Irrigation products and systems
